Terms and Conditions
At She Healthcare we are flexible and interested in the needs of our clients and patients. We understand that life can sometimes get in the way but we do need some guidelines on how our services operate to keep things running smoothly - for us and most of all YOU!
One on one sessions:
Running - one on one sessions run both in clinic and on-line with identical appointment durations and costs. These durations and costs are not able to be modified after booking except by communication with Kathy, Owner She Healthcare prior to your appointment.
Costs and duration -
Initial Assessment - 60-75 mins $160
Second appointment - 60 mins $150
Ongoing appointments - 45 mins $130, 30 mins $100
Health assessments - 60 mins $150, 45 mins $130
Pre-class screening - 45 mins $130
Bookings - can be completed on-line, via email or via direct communication via text with the business mobile, 0418 427 621 or our automated messaging system (you can reply to this at any time once you have received an automated reminder or other notification from us).
Confirmation and reminders - you will receive a confirmation of your initial assessment within 3 working days of your booking. This will be in email form and will contain all the information you need for your initial assessment. You can reply to this at any time prior to your initial assessment if you have any questions. For ongoing appointments, you will receive a reminder of your appointment about 48 hours prior to your appointment. This will be from our automated reminder system and you can reply to this if need be.
Cancellations - if you need to cancel or reschedule your appointment outside of 24 hours from the appointment time, this can be done free of charge. You can reply to the automated reminder or call or text our business number on 0418 427 621. If you cancel or re-schedule your appointment within 24 hours from the time of the appointment, your first cancellation will be free of charge with a reminder of our cancellation policy. Any further re-scheduled or cancellations within the 24 hours timeframe will be charged 100% of the cost of the appointment scheduled for Glenbrook patients/clients, 50% for Katoomba patients/clients. You will be sent an invoice via email with direct debit details for payment. I am a small business and need to implement this cancellation policy in order to keep being able to provide high quality allied health services to the community. It is difficult to fill cancelled appointments at short notice.
Arrival and what to wear/bring - please arrive at your appointment 1-2 minutes prior to the appointment. At present we do not have a dedicated reception area in Glenbrook, however you are welcome to wait on the verandah on the waiting area table and seating. We have a reception area available in Katoomba clinic. Please wear something comfortable and comfortable footwear. You don’t need to wear gym attire but something easy to move in. Bring some water if it is an ongoing appointment you are attending, and also a towel if you feel you will need it - we don’t have towels to hire. Your initial assessment is more often a history taking and planning session so no need to bring water to that session or wear exercise appropriate clothing.
Included in your appointment - as your appointments are an allied health service, treatment note taking is required by law. During your appointment your clinician will take some brief notes summarising the treatment during the session. Your appointment will also include 5 minutes of time at the end to take payment and re-booking. Your initial assessment will include detailed treatment note taking.
Re-booking - your clinician will re-book you in for your next appointment at the time of your current appointment. It is handy to have your diary or calendar with you so this can be done smoothly. It is advisable to re-book so that you have a scheduled appointment within timeframes that are necessary for your ongoing treatment as appointments do get booked up a few weeks ahead of time.
Exercise Programming - you will be provided with a full evidence based exercise program as part of your treatment. This can be provided via app access or PDF copy for you to print off. As access to the app service is paid for by She Healthcare dependant upon the number of active programs, clients/patients that are not actively involved in treatment ie: do not have a review booked in, won’t be kept current within the app, which means your program will expire and you won’t have continued access to it via the app service. You can request a PDF copy of your program to print off at any time if this is the case. While you are an ongoing patient/client, the app is free to use for you.
Rebates - if you have a level of cover in your private health insurance that covers exercise physiology, you will be eligible to claim a rebate on your sessions. This will depend on your fund, level of cover and how much you have already used during the funds scheduled year - consult your individual fund for specific details. If you have a medicare 5 sessions allied health plan issued by your GP, you will be able to claim a rebate on your sessions if you chose to use it for exercise physiology - you can use any number of the sessions you wish depending on how many were issued by your GP and how many you have left - consult your GP for more information regarding this as your GP determines your eligibility depending on your health concerns. She Healthcare will issue you with the relevant receipt and code (private health or medicare) and you are able to claim it direct with your health fund or medicare over their app or in person, if you are a Glenbrook patient/client. If you are a Katoomba patient/client True Balance Physio can process your rebate at the time of payment for your appointment.
Strong and Steady small group classes:
Class description - the Strong and Steady small group classes cater for up to 8 participants (Katoomba) and 6 participants (Glenbrook) at a time and are designed to assist you with muscle strength, bone strength and health, balance, mobility, co-ordination and agility. The work on all aspects that we might find challenging as we age to keep us as functional and independent as possible. Max 8 or 6 people.
Suitable for - those who might have 1-2 minor medical conditions/injuries that are stable and may only need minor exercise modifications within the class environment. These classes cannot cater for those who require multiple exercise modifications and highly individualised exercise. If you are unsure, this can be discussed with your clinician at your pre-exercise screening and the most appropriate class recommended for you depending on your situation.
Duration - 1 hour including a full warm up and cooldown.

Costs and payment - classes are $300 (Katoomba), $330 (Glenbrook) for an enrolment of 10 classes. You have 13 weeks to use your 10 classes before your enrolment expires. You can pay your enrolment up front or in two part payments, half when you enrol and half 2 weeks later.
Pre-class screening - prior to attending your trial class you will need to attend a pre-class screening. This will review your health and also goals and treatment planning for the classes. As the classes are an allied health run class and involve exercise, a pre class screening is required to asses your individual health status and needs and make sure you are safe in the class. Pre-class screening is $130 and you may be able to claim a private health or medicare rebate as it is a one on one service (see one on one sessions above).
Costs and other conditions - you can trial a class as a cost of $33 (Katoomba) and $38 (Glenbrook). If you want to continue with a 10 class enrolment, that trial class can be included in your 10 class enrolment if you enrol and pay at your trial class. You are then enrolled indefinitely into your day and time allocation for the week - unfortunately we don’t have availability as yet for you to flexibly attend any weekly class. It is appreciated if you advise us that you aren’t able to attend a certain week’s class for planning purposes. If the class is cancelled on behalf of She Healthcare you will have an extra week added to your expiry date. If you go away for an extended period or are sick/injured for an extended period, if you are able to show evidence of each we can place your classes on hold for you for up to 1 month. Classes may be transferred to another person (female) if for some reason you are unable to continue.
Re-enrolment - we will check with you around class 8 or 9 of your current enrolment if you wish to continue your enrolment. This may be by email or in person when you attend your class. To keep your spot in the allocated class you need to pay for your next enrolment before or at your 10th class. This can again be up front or in two part payments (as above). This will secure your ongoing spot in your class.
Changing class day/time - if at any time you wish to change class days/times you can advise us in person or by email and if there are spots available in the class you wish to change to, we will be able to transfer your enrolment to your new requested class. If that class day/time is full, we can place you on a waitlist incase a spot comes up in that class and advise you as soon as a spot becomes available.
Transferring locations - if you wish to transfer your enrolment from Glenbrook to Katoomba or vice versa, please contact us and this may be able to be arranged on a case by case basis, depending on class availability. We are unable to accomodate changing classes back and forth from one location to another on a class by class basis - your remaining enrolment needs to be fully transferred.
Rebates - if you have group exercise physiology cover in your private health insurance you will be able to claim a rebate for your group classes. Please contact you individual fund to see if you have this cover. We will be able to issue you with a receipt to claim for payment yourself in both Glenbrook and Katoomba clinics. No medicare rebates are eligible for group or class services under the conditions of medicare allied health plans.
Strong PLUS small group individual exercise sessions
Group description - the Strong PLUS small group individual exercise sessions are an opportunity to attend a time with 2 other people to be able to work on your own individualised program you have had developed by your clinician. Your clinician is available for sessions to provide mostly one on one assistance for each participant as the group is a lot smaller than a class setting. These sessions provide an in between for those that require more one on one assistance and have more complex health needs. They are more individualised than our small group classes and more economical than one on one treatment sessions. Max 3 people.
Suitable for - those who have more complex health conditions, multiple health conditions, recovering from surgery, illness or other medical procedure and need more hands on one on one assistance. Depending on your health status, clearance from your GP may be required especially if you are recovery from surgery, illness or other medical procedure.
Duration - 1 hour to complete your full individualised program.

Initial Assessmentand second one on one session - prior to being able to participate in these sessions you will need to attend an initial assessment for exercise physiology services. You will also need to have an exercise plan implemented so will likely need to attend a second one on one exercise physiology session, after which you can be enrolled in the Strong PLUS small group individual session program (see one on one sessions above). Your second session will include taking any relevant objective measures and health screening so you know what aspects of your health you need to work on and an appropriate individualised exercise program can be implemented for you.
Costs and other conditions - costs are $300 for an enrolment of 6 sessions. You have 8 weeks to use your 6 sessions. You can pay your enrolment up front or in two part payments, half when you enrol and half 2 weeks later. You are then enrolled indefinitely into your day and time allocation for the week. It is appreciated if you advise us that you aren’t able to attend a certain week’s group for planning purposes. If the group is cancelled on behalf of She Healthcare you will have an extra week added to your expiry date. If you go away for an extended period or are sick/injured for an extended period, if you are able to show evidence of each we can place your group sessions on hold for you for up to 1 month.
Re-enrolment - we will check with you around session 5 of your current enrolment if you wish to continue your enrolment. This may be by email or in person when you attend your group. To keep your spot in the allocated group you need to pay for your next enrolment before or at your 6th group. This can again be up front or in two part payments (as above). This will secure your ongoing spot in your group.
Changing group day/time - if at any time you wish to change your group days/times you can advise us in person or by email and if there are spots available in the group you wish to change to, we will be able to transfer your enrolment to your new requested group.
